Planning your talk 🗣️

Between now and April, if you want to brainstorm the storyline for your talk then Steph is happy to jump on a call, here is her Calendly so you can easily book a meeting.

This year’s theme is “Space to Play” which is inspired by two kinds of space: the boundless universe, full of wonders and infinite possibilities, and the need to create more playfulness for us to unlock our creativity and drive progress. Read more about the theme here 🪐

We booked you because we know you fit very well into this theme and have built space to play into your own careers. The audience wants to hear about you as a person, tech innovations in your field, and of course your work, but it shouldn’t be a sales pitch. We trust you to make it a fantastic speech!

Tickets 🎟️

For you: We will send you a link this week to register as a speaker – make sure to fill it in. Here you will also add any food intolerances etc.For friends:
All tickets have been allocated via a raffle system to keep it fair, once you get a ticket from the raffle, you have 7 days to confirm, or the ticket will go back into the draw. Every Friday tickets are released. We have literally thousands of people on the waitlist at the moment, if you have someone that wants to join us in Stockholm, they can join the waitlist, and maybe their name will be picked out of the raffle. https://womenintech.se/raffle/

The entire event will be live streamed so make sure to spread the news far and wide so people can tune in to watch you 🔥 Tell them to make sure they are signed up as a member for updates.

Stage set up 🎪

You can see below the stage set up. The sofas etc will stay on stage the whole time and will be used for panels when we have them. 

You will be given a head mic, a clicker (if you have a presentation), and at the rehearsal on 22nd April you can pick up Women in Tech cue cards. A tip is to have your notes printed beforehand, and then you can stick them onto the cue cards.

If you are showing slides, the middle screen will be your presentation, the two side screens will be cameras on you. You will have a timer, and a screen mirroring the presentation in front of you. 

Main stage: We have three sections when the main stage is live: 9:00-10:10, 10:45 – 12:00, and 15:30-16:30. We will confirm the timing of your speech nearer the date.

Interview stage: This will be on the main stage as well to use the same technical set up, but it will be live-streamed whilst the live audience are on coffee breaks. If anyone in person does want to stay and listen, they are welcome to! We have three sections when the interview stage is live: 10:20-10:40, 12:05 – 12:50, and 15:05-15:25. I will confirm the timing of your speech near the date.

Presentations 🖥️

To ensure the smooth execution of your lecture, we kindly request that you send us your presentation in advance. We need to receive it no later than 11th April.

Here are some guidelines for your presentation:

  • The presentation should be in PowerPoint or Keynote format.
  • Please note that we do not accept PDF or Google Slide formats.
  • The format of the presentations should be 16:9.
  • If you use fonts that are not standard in the Office package, please attach these fonts along with your presentation.
  • If you have embedded videos in your presentation, we recommend attaching the video file separately along with your presentation. (Smaller GIF-like videos that are a smaller part of the slide are ok to embed.)
  • Avoid using YouTube links, or links to other online content. However, if you wish to use them, please provide the link to the video so that our technician can check if it can be downloaded locally on the computer.
  • You can upload your presentation file using the following Dropbox request: Dropbox Link (When you click on the link, a browser will open. Drag your files into the window and then press “upload.”) If you need to update anything (ideally not!) then please  
  • It is crucial that you name your presentation according to the following information: Date, speaker’s name, speech title, for example: “23rd April_Anna_Johansson _AI_Challenges”
  • NOTE: The deadline for submitting your presentation is 11th April 2025.
  • Following the event, your presentation will be available on the meeting’s website for registered participants. If you prefer it not to be accessible afterwards, kindly inform us.

 


 

Preparation for the day quick facts ✍️

✍🏾 Registration: The day before the event, you will get a QR code for your badge via email. You need to register beforehand – you will get an email this week to register.

📆 Event: Full day 23rd April (9:00 – 19:00) for WIT conference – we strongly encourage you to watch all the talks during the day as they will be amazing! There will be speeches 9:00 – 16:30 on the main stage then a mingle 16:30 – 19:00. (We will have a speakers’ dinner after this from 19:30 at the same hotel!)

⏰ Time on stage: I will confirm the exact timing of your speech nearer the date.

📍 Location: Waterfront Congress Centre (behind T Centralen), Stockholm

🎤 Rehearsal: 22nd April – Waterfront will be open during the day and all keynote speakers must rehearse their talk with mic, tech etc. You need to be there 16:00 – 19:00. We will have an informal dinner/open table after rehearsals.

💄Makeup: There will be a makeup artist in the green room for speakers, you will do your own hair. You will have an allocated makeup slot.

🗣Speech: Keynotes will be max 13 minutes long – please give me an indication of how long it will be so I can plan the schedule. Lightning talks are 5 minutes. 

📹 Live stream: The event will be live streamed so you can share with friends and family.

 


 

Day before event & rehearsals – 22nd April 2025 🎙️

🎤 Rehearsal

We will have a rehearsal for all main stage speakers on 22nd April – it is important that you come to this. We will start at 16:00 – you will have a time slot based on your time on stage. This will be confirmed the week before, but please book your calendar for 16:00 – 19:00 on 22nd April.

We encourage you to stay and watch everyone’s rehearsals – last year we saw this beautiful atmosphere created where everyone cheered each other on and gave advice.

🍽 Dinner

There will be an ‘open table’ with some snacks and drinks after the rehearsals on the 22nd at the hotel restaurant in Waterfront. It’s the same venue as the conference, you’ll find the restaurant behind the hotel reception desk. 

The WIT Team will be there, feel free to have a glass and chat with fellow speakers and the team before the big day.
